Leave Management

The Leave Management module handles everything related to employee time off — from configuring leave types and policies to processing leave requests and tracking balances.

Features

Leave Dashboard

The Leave & Attendance page provides an overview of:

  • Total leave requests (pending, approved, rejected)
  • Leave balance summary per employee
  • Upcoming holidays
  • Working-on-holiday requests

Leave Types

Configure the types of leave available in your organization:

  • Annual Leave — Standard paid time off
  • Sick Leave — Medical leave
  • Casual Leave — Short notice leave
  • Maternity/Paternity Leave — Extended leave for new parents
  • Leave Without Pay — Unpaid leave
  • Custom Types — Create any leave type specific to your organization

Each leave type has:

  • Name and description
  • Maximum days per year
  • Whether it’s paid or unpaid (Leave Without Pay flag)

Leave Policies

Policies define the rules for leave allocation:

  • Which leave types are included
  • Allocation amounts per policy
  • Carry-forward rules
  • Pro-rata allocation for mid-year joiners

Leave Periods

Define your organization’s leave year:

  • Start and end dates (e.g., Jan 1 — Dec 31 or Apr 1 — Mar 31)
  • Allocations are tied to leave periods

Leave Allocation

Assign leave balances to employees:

  • Bulk allocation by department or individually
  • Manual adjustments for special cases
  • Track allocated vs used vs remaining

Leave Requests

Submitting a Request

Employees can apply for leave by:

  1. Navigating to My Leave (employee view) or Leave Management (admin view)
  2. Clicking Apply for Leave
  3. Selecting leave type, date range, and reason
  4. Submitting for approval

Approval Workflow

  • Leave requests go to the employee’s manager or HR admin
  • Managers/admins can approve or reject with comments
  • Notifications are sent for status changes
  • Pending approvals appear on the dashboard

Leave Balance

  • Employees can check their remaining balance per leave type
  • Balances update automatically when leave is approved
  • Balance tracking accounts for allocations, used, and pending

Leave Encashment

Employees can request to encash unused leave balances:

  • Submit encashment requests for eligible leave types
  • HR reviews and approves encashment
  • Amount calculated based on salary components

Block List

Admins can define leave block periods where leave cannot be taken:

  • Useful for peak business periods
  • Applies to specific leave types or all types
  • Employees see blocked periods when applying

Holidays

Manage your organization’s holiday calendar:

  • Add public holidays and company-specific days off
  • Holidays are reflected in attendance and leave calculations
  • Configure holiday lists per branch if needed
